Job Description Summary:

The Volunteer Program Assistant is responsible for assisting with the coordination of a large volunteer staff, and will perform various clerical and communication tasks for the volunteer department. Includes answering phones in the office, handling confidential documents and use of personal vehicle for attendance at off-site meetings and trainings.

 

Responsibilities

  1. Maintains database of all volunteers, assignments, hours of service (time sheet entry), and documentation compliance.
  2. Generates monthly Medicare reports.
  3. Maintains volunteer files, making sure all volunteers remain in compliance with applicable state and federal hospice regulations, company policy and liability insurance requirements.
  4. Schedules volunteers, and ensures all necessary paperwork for each assignment is properly completed.
  5. Schedules volunteers for events such as, memorials, conferences and fund-raising.
  6. Assists Volunteer Coordinator with set-up and clean-up of volunteer training and meetings; including quarterly Memorials.
  7. Shares attendance at team meetings, volunteer in-service meetings, and IDT meetings with the Volunteer Coordinator.
  8. Performs various clerical tasks, including typing, copying, and preparation of volunteer handbook and mailings.
  9. Conducts orientation and training for volunteers at the IPU and Kanmar as needed.
  10. Organizes, assigns, supports, and oversees office volunteer staff.
  11. All other duties as assigned.

Qualifications

  1. High school diploma or equivalent.
  2. Previous experience scheduling and coordinating a workforce.
  3. Understanding issues of confidentiality and privacy.
  4. Must have high level of interpersonal skills to handle sensitive and confidential situations and information.
  5. Excellent written and oral communication skills.
  6. Demonstrated ability to efficiently organize and prioritize multiple tasks.
  7. Ability to work independently and as part of a team.
  8. Demonstrated flexibility and cooperation in performing job responsibilities.
  9. Ability to work 8:00 a.m. to 5:00 p.m. during office hours, and occasionally flexible hours for special events, with notice.
